Managing User Roles and Permissions

Manage user permissions with role-based access control including; creating and editing custom roles, and assigning them to users.

Formulayt's role-based access control enables enterprises to maintain governance across their form estate. The Roles area allows administrators to define granular permissions and access levels for different user types.

Default user roles

All Formulayt accounts have roles that can be assigned to users:

Administrator

  • Users with this role can manage any aspect of this account

Basic user

  • Can create/edit own gates

  • Can delete own gates

  • Gate activity report on individual gates

  • All form types

Editor

  • Can create/edit own gates

  • Can delete own gates

  • Can edit any gates

  • Can delete any gates

  • Can create folders

  • Can edit/delete folders

  • Gate activity report on individual gates

  • Gate activity report - all gates

  • All form types

Manager

  • Can create/edit own gates

  • Can delete own gates

  • Can edit any gates

  • Can delete any gates

  • Can create folders

  • Can edit/delete folders

  • Gate activity report on individual gates

  • Gate activity report - all gates

  • View translations

  • Edit translations

  • Access all languages

  • All form types

Translator

  • View translations

  • Edit translations

  • Access all languages

Creating and editing roles

Depending on your Formulayt subscription you can edit existing roles or create new ones. When editing roles, you will see a series of permissions that can be granted across different areas of the platform:

  1. Gate editing

  2. Features

  3. Translations

  4. Available Form Types

Important: Certain permissions are dependent on one another. For example, if you enable edit translations, view translations will be automatically granted as well.

After creating a new role or editing an existing one, click save to apply your changes.

Assigning roles to users

To assign roles to users:

  1. Navigate to Setup> Users

  2. You will see a list of users who have access to your account along with their currently assigned role

  3. By selecting a user, you can view information about all available roles and their associated permissions.

  4. Assign users to a specific role by making a selection from the the dropdown.
