Custom Reports

Build your own advanced reports by choosing how you want your data grouped and analyzed.

What are custom reports?

Custom reports allow you to create and save report templates based on the data you want to analyze. You can group your gate activity by up to three different fields, making it easier to identify trends and compare activity across areas such as gates, countries, form types and campaign data.

Reports can be saved without being run, so you can create templates ready to use whenever you need them.

Creating a custom report

To create a custom report:

  1. Go to Reports > Custom Reports.

  2. Click Create custom report to open the report builder.

  3. Give your report a name, or leave the default name generated by Formulayt.

  4. Select your grouping fields.

  5. Save the report.

Grouping your data

Grouping fields determine how the data in your report is broken down.

The builder starts with two grouping field dropdowns, a third grouping field becomes available when Date is selected as a grouping field.

Only one grouping field is required for a custom report. The second, and third if date is selected, grouping fields are optional.

If Gate is selected as one as a grouping field then this will only include active gates unless Include inactive gates is toggled to Yes. Active gates are gates that have been loaded outside of your gate editor.

For example:

Gate + User country

Groups activity by gate and then country.

Date + Gate + User country

Groups activity by date, then gate, and then country.

The third grouping field is optional, so you can also use just Date + Gate.

Available grouping fields

  • Date

  • Channel

  • Gate

  • User country

  • Page URL

  • Browser device

  • Gate type

  • Form type

  • Form display type

  • Form progressive step

  • Form fields displayed

  • Session UTM campaign

  • Session UTM medium

  • Session UTM source

  • Session UTM content

After selecting your grouping fields, save the report. Saving a report saves the report template; it does not run the report.

Running a custom report

Once a custom report has been created, you will be taken to the report page where you can edit or run the report.

For existing reports, select View from the Custom Reports table to open the report page.

Use the date filter beside the edit and run options to select the reporting period. The maximum date range depends on your account’s reporting restrictions and activity volume.

Click Run to generate the report. The report runs in the background, so you can continue using Formulayt while it is being processed.

You will be notified when the report is ready through:

  • An alert in the Formulayt menu

  • Email notification

Data included in the report

Your selected grouping fields are included alongside the following activity data:

  • Gate loads

  • Form views

  • Form starts

  • Form submissions

  • Content consumption

  • Blind form submissions

  • Form conversion rate

  • Form abandonment rate

If Gate is selected as a grouping field, the report also includes:

  • Gate created at

  • Gate updated at

  • Last load date

  • Last submission date

Note: Gate date fields are not affected by the report's selected date range. They show the relevant date recorded for the gate, even if the activity occurred outside the reporting period.

Managing custom reports

All custom reports appear in the Custom Reports table, including reports that have not yet been run.

The table shows the report Name, Created by, Grouping fields, Last run and Last run by.

Hover over a report to access the View, Edit and Delete options, or click the row to open the report.

You can use the search bar to find a report. A minimum of two characters is required.

Created by always shows the person who originally created the report and does not change if the report is edited.
